Annual Eye Exam Recall: A Simple System That Brings Patients Back

October 22, 2026

Most eye care patients don't think about their next exam until something changes: a prescription stops working, contacts run out, or a vision plan benefit resets. A steady recall system brings patients back on schedule instead of whenever they happen to remember. It doesn't need to be complicated, just consistent.

Pre-book at checkout

Offer to schedule next year's exam before the patient leaves. Many will say yes, and a booked visit is easier to keep than one they need to remember to call about. Patients who decline can be placed in your recall list instead.

Build reminders around the due date

For pre-booked patients, send a reminder a few weeks before the visit, a confirmation request a few days ahead and a short reminder the day before. For patients who aren't booked, start recall a few weeks before they're due and continue with a short sequence: text, then email, then a call for those who haven't responded.

Connect recall to what patients care about

Patients respond to reasons that matter to them. Useful prompts include:

  • Contact lens supply running low, since an exam is usually needed to renew a prescription.
  • Vision plan benefits that may reset each year (patients can confirm with their plan).
  • Glasses that feel off or are due for an update.

Keep the message factual, without exaggerating risks or making health claims.

Keep messages private and simple

Include the practice name, a note that an exam is due, and a booking link or reply option. Leave diagnoses and clinical details out of texts.

Follow up on optical orders

Glasses and contacts that sit uncollected are a related problem. Send a ready-for-pickup message, then a reminder a week later. A patient who picks up their order is also a good moment to confirm next year's exam.

Work the lapsed list

Patients who are well past due deserve one more try. A short, friendly message asking if they'd like to come back, plus an easy way to update their contact preferences, is enough. Remove patients who ask not to be contacted.

The bill for leaving it alone

Without a recall system, patients drift. Each patient who skips a year is an exam slot that isn't filled, an optical sale that may go to an online retailer, and a missed chance to catch changes in their eyes. Staff also spend time on ad hoc calls that a schedule could handle.

Illustrative only: if a practice has 3,000 active patients and 1 in 10 skips their annual exam without a reminder, that's 300 missed exams a year. Multiply by your own exam fee, and add optical sales if you track them, to estimate the gap.

Automation — only after the habit is clear

Software can run the recall schedule, send reminders, track who has booked, and draft optical pickup and lapsed-patient messages.

Measure it

Track how many patients pre-book at checkout, how many recalled patients book, and how long optical orders wait for pickup. Watch those three numbers each month and adjust message timing as needed.
